JAI THE SKETCH GUY is a live artist & sketchnote illustrator in Los Angeles, CA.
He creates whimsical illustrated notes of spoken content, called "sketchnotes", at conferences & conventions worldwide – live and in real-time! These graphics are a supportive tool to help attendees remember the best points of numerous talks. Plus, it's engaging to watch!
He is looking for an enthusiastic, business-savvy Administrative Assistant to join our team and help ensure we’re operating efficiently as we stay focused on the creative work. It's also important that they be vibrant, energetic, and nimble, able to adapt and learn.
This will be a demanding role initially as you learn the processes, product and clients. So you must also be self-motivated, goal-orientated, and articulate, as these traits are equally important when interacting with our client projects.

Your Duties:
— Answering clients emails inquiring about services/pricing.
— Talking to potential clients about their upcoming event
— Helping match clients w/ the right sketchnote service
— Getting a signed contract & billing the client.
— Collecting logistical details: itinerary/travel/hotel/supply delivery
— Sending artist contract & initial Invoice
— Scheduling/Attending Zoom Meetings for pre-event touchbase
— Scheduling dates and details on my calendar.
— Rescheduling when flights cancel or plans fail
— Delivery of final assets in email to client
— Optimizing tools & process to create more fluid interaction
— Follow-Up Thank you emails & Request for Business Review
— Proof reading finished Sketchnotes
— Maintain & Update customer email database
Qualifications:
- No degree required but proof of similar experience needed
- Professional, Efficient, Detail-oriented w/ excellent follow-through
- Excellent ability to evaluate best solution, a rapid problem-solver
- Minimum of 1 year experience as an administrative assistant required.
- Strong interpersonal skills with the ability to communicate effectively with all types of personalities.
- Strong organizational skills with the ability to meet deadlines.
- Flexible in situations where schedules/plans change
- Optimistic & Friendly, Positively represent the business
